How are Resource Negotiations used?

This lessons shows the steps and available options for Project Managers and Resource Managers during the negotiation process.

1. Launch the Resource Planner

With Resource Negotiations, the Project Manager starts by building the Resource Plan for a single or multiple projects.

  1. Check the boxes to the left of the project names.
  2. Click the Edit Resource Plan button.

Note: For additional information about building a Resource Plan, please refer to the Resource Planner chapter.

2. View the Private Icon in the Resource Planner

  • View the Private icon.The Project Manager builds his/her Project’s Resource Plan. As soon as the Project Manager enters a row, it’s private by default. Some rows may stay private (private icon). No negotiations will take place on private rows.

3. Make Desired Rows Public

  1. Select the desired row.
  2. Click Make Public to change some/all rows to public. This will change the item to “negotiate” status (negotiate icon).

4. Click Save

  1. Click the Save button. When the Project Manager saves the project resource plan, he/she will be prompted to make the private rows public - if yes, then ALL rows become public. The Project Manager may continue to build/modify the resource plan or close the Resource Planner.
  2. Select Yes to change all private rows in the Resource Plan to public. Select No to leave the private rows as private. Select Cancel to return the Resource Plan.

5. View a Notification Email

  • View an email notification. When the Project Manger saves the Resource Plan, a notification email goes to each resource manager (department manager) for the proposed resources (whether generic or named resources). The body of the email to the Resource Manager will have a dynamic link back to the Resource Planner.

6. Navigate to Resource Planner via Resource Manager Notification

  • The body of the email to the Resource Manager will have a dynamic link back to the Resource Planner. Click the link to navigate to Resource Planner via Resource Manager Notification. The Resource Planner will show those resources from his/her department whom have been proposed.

7. Select Desired Options (Resource Manager)

  1. Accept a row (select a row & click the Accept button). If the RM accepts the proposal, the row status changes to commitment & the RM column changes to accepted (green check mark icon)
  2. Make changes to a row (select a row & make changes). change the resource(s) assigned, changed the allocation values. If the RM changes the proposal, the row status stays as negotiate; RM column changes to accepted (green check mark icon), the PM column goes to Blank.
  3. Reject a row (select a row & click the Reject button). If the RM rejects the proposal, the row status stays as negotiate; RM column changes to rejected (red X icon), the PM column stays as accepted.

8. View the Resource Plan Changes made by the Resource Manager

  1. This row has been changed by the Resource Manager.
  2. This row has been rejected by the Resource Manager.
  3. This row has been accepted by the Resource Manager.

9. View the Dynamic Link

  • View the dynamic link. When the Resource Manager saves the resource plan, a notification email goes to each project manager for the projects which had resource proposals modified by the Resource Manager.

10. Launch the Resource Planner (Project Manager)

  • Click the dynamic link to launch the Resource Planner.The body of the email to the Project Manager will have a dynamic link back to the Resource Planner. The Resource Planner will launch reflecting the changes made by the Resource Manager.

11. View the Project Manager Options

If the Resource Managers proposed a change to one or more rows, the Project Manager can:

  1. Accept a the changes proposed by the Resource Manager (select a row & click the accept button). If the Project Manager accepts the change, the row status changes to commitment and the PM column changes to accepted (green check mark icon).
  2. Make counter-changes to a row (select a row & make changes). If the Project Manager counter-changes the proposal, the row status stays as negotiate (negoitiate icon); the PM column changes to accepted (green check mark icon), the RM column goes back to Blank.
  3. Reject a row (select a row & click the reject button). If the RM rejects the proposal, the row status stays as negotiate; RM column changes to rejected (red X icon), the PM column stays as accepted.

12. View the Continued Actions

At any point, the following can take place by either the Project Manager or the Resource Manager:

  • Make a change after it’s been committed (status= green check, both RM & PM have accepted) this puts the row into “renegotiation” status (renegotiation icon).
  • Cancel a commitment this sends a notification, but no action is needed from the other party
  • Delete a row, but only if it has already been canceled.

13. Review Negotiate History

  1. Select a row for which to review the negotiation history.
  2. Click the History button. All negotiation history with show with a time stamp and action.
