How do I manage holiday schedules?

This article shows you how to view and add Holiday Schedules for resources in your EPM Live Site App.  When resources are associated to a specific Holiday Schedule, the resource planning tools will use the holidays for the selected holiday schedule to account for the resource availability.  You may have different holiday schedules if you have multiple offices globally, and the resources in one country may have certain holidays off than others.

Note: The FTE (Full Time Equivalent) for resource planning is based on the default Holidays schedule in addition to the default Work Hours schedule.

Note:  This is for company holidays.  This is not for a specific resource's vacation/holiday.  Those are managed via the Time Off feature.

1. Navigate to Holiday Schedules

  1. Select the Settings Gear icon on the Icon Bar.
  2. Under the User Management section, click Holiday Schedules.

2. Add a New Holiday Schedule

  1. Select the Items ribbon tab.  
  2. Click the New Item button.

Or click the New Item Button in the View Toolbar.

2.1. Enter Holiday Schedule Details

  1. Title: Enter the holiday schedule title.
  2. Default Check box: Check the box if this is the default holiday schedule for resources, meaning the majority of resources in your Resource Pool will be associated to this holiday schedule.
  3. When finished, click the Save button.

Note: You will be directed to a page viewing the newly created Holiday Schedule on the top part of the page, and the space to add the holidays for that holiday schedule below.

Note: The default holiday schedule is used by the Online Planner (aka the Project Planner).  The holidays from the default holiday schedule are accounted for in the online planner by skipping the holiday days, just as it skips Saturday & Sunday.  The online planner does not take into consideration the resource(s) assigned to the tasks. It just skips all holidays from the default holiday schedule, regardless which or if a resource is assigned or not.

3. Modify an Existing Holiday Schedule

  1. Select the Holiday Schedule item to modify.  
  2. Select the Items ribbon tab.
  3. Click the desired button, such as View Item, Edit Item, Delete, etc.
  4. Click the Holidays button in the Associated Items section to manage the holidays for the selected Holiday Schedule.

3.1. Modify Holiday Schedule Details

  1. Title: Update the holiday schedule title.
  2. Default Check box: Check the box if this is the default holiday schedule for resources.
  3. When finished, click the Save button.

4. Add or Modify the Holidays for an Existing Holiday Schedule

  1. Select the Holiday Schedule item to modify.  
  2. Select the Items ribbon tab.
  3. Select Holidays from the Associated Items section.

Note: You must enter each holiday for each holiday schedule for each year.  For example, you would need to enter Christmas for US Holidays and enter Christmas for UK Holidays if both holiday schedules need to account for Christmas.

5. Add a New Holiday

  1. Click the New Item button.

Note: When adding a holiday that is the following year's occurrence, be sure to add a new holiday with the specific date for the following year.  It is recommended to add a new holiday item rather than change the date of the existing holiday.  This way, if you look back on resource availability historically from a previous year, data integrity is maintained.

6. Complete the New Holiday Form

  1. Title: Enter the Title for the holiday.  
  2. Holiday Schedule: Select the holiday schedule, if it's not already selected.  
  3. Date: Select the date from the calendar pop-up or type in the date for the holiday.
  4. Hours: Enter the hours for the holiday.
  5. When finished, click the Save button.

Note: You may enter multiple holidays with the same name.  For example, you may enter Christmas in 2014, 2015, 2016, etc.  Be sure that the date selected is different for each.  You may not have two holidays with the same date in the same holiday schedule.

Note: Holidays cannot be added in bulk.  Each holiday for each holiday schedule must be entered individually.  For example, if Christmas is holiday in both US holiday and UK holidays, Christmas would be added twice - once associated to each holiday schedule.
